Managing Contacts

The Contacts section is your directory of prospects — people you want to reach out to. You can organize them into lists, track their status, and manage their information.

Contacts Overview

Access your contacts by clicking Contacts in the sidebar. You'll see three tabs:

  • Contacts — Individual people
  • Lists — Distribution lists for campaigns
  • Companies — Organizations (auto-populated from contact data)

Adding Contacts

Add a Single Contact

  1. Click Add Contact
  2. Fill in the details:
    • Name (required)
    • Email (required)
    • Company (optional but recommended)
    • Title/Role (optional)
    • Phone (optional)
    • Notes (optional)
  3. Click Save

Import from CSV

For bulk imports:

  1. Click Import
  2. Upload a CSV file
  3. Map your columns to Minoo fields
  4. Review the preview
  5. Click Import

Minoo validates email addresses during import. Invalid emails will be flagged and skipped.

Contact Status

Each contact has a status that tracks where they are in your outreach:

StatusMeaning
NewJust added, no outreach yet
ContactedYou've sent them an email
RespondedThey replied to your outreach
QualifiedThey're a good fit, ready for next steps
UnsubscribedThey opted out of emails

Status updates automatically when:

  • An email is sent → Contacted
  • They reply → Responded
  • They click unsubscribe → Unsubscribed

You can manually update status to Qualified when you've determined they're a good lead.

Distribution Lists

Distribution lists let you group contacts for targeted campaigns.

Creating a List

  1. Go to the Lists tab
  2. Click New List
  3. Enter a name (e.g., "Yoga Studios Cape Town")
  4. Optionally add a description
  5. Click Create

Adding Contacts to a List

From the list:

  1. Open the list
  2. Click Add Contacts
  3. Search or browse contacts
  4. Select contacts to add
  5. Click Add Selected

From a contact:

  1. Open the contact details
  2. Click Add to List
  3. Select one or more lists

Using Lists in Campaigns

When creating a campaign, you can select a distribution list instead of individual contacts. This sends to everyone in the list at the time of campaign creation.

Create lists based on criteria like industry, location, or lead quality. This lets you tailor your messaging for each segment.

Viewing Contact History

Click on any contact to see their complete history:

  • Details — Contact information you've saved
  • Interactions — All emails sent and their status (opened, clicked, replied)
  • Notes — Any notes you've added about this contact
  • Agent Memory — What Minoo remembers about this contact for personalization

Editing and Deleting

Edit a Contact

  1. Click on the contact
  2. Click Edit
  3. Make your changes
  4. Click Save

Delete a Contact

  1. Click on the contact
  2. Click Delete
  3. Confirm deletion

Deleting a contact removes them from all lists and clears their interaction history. This cannot be undone.

Search and Filter

Use the search bar to find contacts by:

  • Name
  • Email
  • Company

Use filters to narrow by:

  • Status (New, Contacted, Responded, etc.)
  • List membership
  • Date added

Best Practices

Keep Contact Data Clean

Regularly review your contacts for:

  • Bounced emails (remove or update)
  • Duplicates (merge or delete)
  • Outdated information (update titles, companies)
Use Lists Strategically

Don't put everyone in one big list. Segment by:

  • Industry or vertical
  • Location/timezone
  • Lead quality or stage
  • Campaign type (cold outreach vs. nurture)
Add Notes for Context

When you learn something about a contact (from a call, LinkedIn, etc.), add it to their notes. Minoo uses this to personalize future emails.

Respect Unsubscribes

Never re-add someone who unsubscribed. Minoo prevents sending to unsubscribed contacts, but you should also not try to work around this.
